A freelancer’s insurance renewal review: what to organise

Renewal is a chance to check whether the description of your business still matches reality.

The short answer

Prepare a record of business changes, collect the current and proposed documents, and ask about differences before deciding. Keep premium comparisons separate from changes in scope or terms.

Make a change log

List what has changed since the last application: services, client locations, turnover estimates, people involved, premises and system access. Describe the facts accurately rather than deciding for yourself which ones an insurer will consider important. Ask the provider which changes must be reported and when; do not wait for renewal where the current policy requires earlier notification.

A useful record has three columns: previous position, current position and supporting document. For example, “strategy only” may have become “strategy plus live implementation,” with a new statement of work explaining the change.

Put the two document sets side by side

Collect the existing schedule, wording and endorsements, then the proposed renewal pack. Label the versions clearly. Ask whether any standard wording, exclusion, limit or condition has changed even if the renewal summary appears familiar.

Do not rely only on the premium change as a signal. A similar price does not establish identical terms, and a different price does not explain which feature changed. Our document-reading guide provides an order for checking the pack.

Review active client obligations

Identify ongoing projects and any agreements that ask you to maintain insurance after completion. Record the relevant clauses and expiry dates in your own contract register. Ask a legal adviser about the meaning of the obligations, and the broker about the proposed insurance response.

Check the actual contracting entity rather than the brand name displayed in a project workspace. If an agreement was renewed with a different entity or jurisdiction, make that visible in the briefing.

Check security answers with the person responsible

For cyber cover, review application answers with whoever manages the systems. A control that was planned last year is not necessarily implemented today. The NCSC advises organisations to keep security information accurate and to understand policy requirements.

Write down what you know, what you need to verify and who will verify it. Do not simply copy the previous application because the questionnaire looks the same. The goal is an accurate submission, not a favourable-looking set of answers.

Record the renewal decision

  1. Resolve material questions about the proposed documents.
  2. Compare the total payable amount and any payment arrangements.
  3. Ask about timing before switching or ending cover.
  4. Save the final policy pack and accepted application.
  5. Make the claims contact accessible to the people who might need it.

This is an organisation workflow, not a recommendation to renew with a particular insurer. If a deadline is close or there is an existing complaint, contact your insurance professional promptly rather than relying on a general checklist to decide what to do.
